October 30, 2024 - Part Time Office Manager: $20-$24 per hour

Areas: West Palm Beach

Part time office manager for a condominium in West Palm Beach, 30 hours per week, CAM license not required. Must be an administrative manager with extensive accounting/bookkeeping skills and demonstrated proficiency in TOPS software to assist the association manager.

Requirements:

* Excellent organizational skills and attention to detail.

* Good verbal and written communication skills.

* TOPS and Microsoft Office proficiency, strong math knowledge.

* Demonstrated success working with others, including learning from and coaching.

* Ability to lift 25 pound file boxes or packages from ground to desk height without assistance.

* Business casual attire required during scheduled hours.

* Two year associate’s degree or above and a minimum of 2 years of professional work experience.

Responsibilities:

* Full charge bookkeeping responsibilities utilizing TOPS (Enumerate) software.

* Required to work in the onsite office for ease of interaction with owners, staff and vendors.

* Maintain resident records on association software and in physical files.

* Assist manager in monitoring unit delinquencies and collections status.

* Compile and distribute all materials in time for association meetings.

* Review, prepare and submit payroll data for review before submission.

* Support association best practices by organizing and documenting all phone, mail, electronic and in person communications with logs, file copies and scans.

* Input and maintain current content on the association’s website to assure compliance with state guidelines.

* Process, document and follow up resident inquiries to ensure efficient and satisfactory service.

* Monitor front desk staff, verify daily upkeep of visitor, vendor and packaging logs.

* Create and maintain a master schedule of ongoing unit construction projects and corresponding permits, insurance certifications and other required paperwork.

* Expedite incoming and outgoing mailings, including all copying functions.

* While the list above is an extensive list of job responsibilities, the individual in this position is expected to be hands on and flexible in adapting to being trained in and conversant with new technologies and revisions to legislative mandates impacting condominiums. Job #13047
