Administrative assistant for a condominium in the Bonita Springs/Estero area, CAM license not required. This position includes a broad range of responsibilities including office systems implementation and administration, knowledge of building policies and procedures, and accurate record keeping. Monday-Friday 8:00 a.m. - 4:30 p.m. On occasion, it may be required to work additional hours as needed to complete projects and meet deadlines.
Requirements:
* Computer literate, well versed in QuickBooks, Word, Excel, Microsoft
Office and internet.
* Must have exceptional organizational skills and the ability to multi task.
* Customer service skills, effective verbal and written communication skills and knowledge of bookkeeping required.
Responsibilities:
* Guest Suites: Billing for guest suite stays, pay guest suite county and state taxes each quarter.
* Payroll: Compile and reconcile payroll reports and send to the accountant.
* A/P: Create and maintain accurate vendor files, update certificates of insurance, update yearly contracts and contact vendor for contract renewal.
* A/R: Create and maintain accurate owner files, update addresses and phone numbers, send out quarterly invoices, post payments to accounts, administer ACH payment activity. Invoice any other fees.
* Bank Accounts: Maintain bank accounts and reconcile monthly, enter monthly interest earned, make deposits, transfer funds.
* Filing. Maintain accurate files, file bills, invoices, contracts, etc.
* Financial Reports: Reconcile credit card statements, provide the accountant with necessary reports to close out each month, assist with annual audit preparations.
* Front Desk (as needed): Answer telephones, answer questions, ensure all vendors sign in and out, ensure all units are locked when vendors leave, keep track of daily activity/sign in sheets, expectant activity, package logs, update resident log, keep track of owner’s arrival and departure dates.
* Unit Leases: Process lease applications through Applicant Information, collect and post application fees, issue letter of acceptance.
* Unit Resales. Process purchase applications through Applicant Information, collect and post application fees, complete estoppel requests, issue Certificate of Approval, create new file, new owner forms, update QuickBooks and other records, complete estoppel requests, from title company obtain copy of final settlement statement and recorded warranty deed for owner file.
* Meetings: Attend board meetings, take minutes, post notices for board meetings, maintain accurate records of board meeting agendas and minutes in office book, post finalized minutes on website.
* Website: Create and maintain the association website.
* Other: Set up and maintain all aspects of office system and files for the association. Create forms, documents and spreadsheets. Assist residents with questions, etc. Job #12953
