Executive assistant to the board of directors and manager for a high rise in West Palm Beach, CAM license not required.
Requirements:
* Must be a high energy extrovert with excellent customer service and problem solving skills.
* Proficiency required in Microsoft Office programs: Outlook, Excel and Word.
* Reliable transportation is a must.
* Experience with community association management software is preferred, but not crucial.
* Spanish/English bilingual preferred, but not required.
* Must be able to be productive in high volume and fast paced atmosphere, with an emphasis on balancing high quality customer service with time management.
* Secondary education in business or management or equivalent substantial experience in real estate or community association management is preferred.
* Commitment to assist the board and manager with advancing automation of standard community processes and inclusion of AI technology. Association is currently expanding online software capabilities. Must be able to quickly adapt to new programs, utilize modules and demonstrate the ability to guide residents at the user end after adequate training.
* Onsite office hours Monday through Friday 8:30 a.m. to 5:30 p.m., lunch from 12:30-1:30.
* Approximately 4 weekend days per year for special events or projects.
Responsibilities:
* Document and file management.
* Phone and email management.
* Resident communication.
* Concierge support.
* Office management: scheduling, calendaring, supply sourcing and acquisition, event planning, running errands, project support to the board, manager and department supervisors.
* Access control management and technical support.
* Unit transfer (sale) management.
* Lease application management.
* Architectural review management.
* Asset management support.
* Bookkeeping support.
Salary, salary advancement considered after 90 day and/or 6 month positive performance reviews, 75% paid health, dental and vision insurance, 10 days paid vacation and 7 paid holidays, after 90 days. Job #13069
