Experienced onsite manager for a condominium in Pompano Beach. Will be responsible for overseeing the daily operations, financial management, maintenance and capital improvement projects of the association. Will be the primary liaison between the board, residents, staff and vendors, ensuring compliance with Florida statute, including FS 718, association governing documents and established policies. Will report directly to the board and play a key role in maintaining the safety, appearance, efficiency and overall quality of life within the community.
Essential Skills, Qualifications and Requirements:
* Experience: Minimum of 5 years of proven experience managing “mature” high rise residential condominium communities. Familiarity with electrical, plumbing and mechanical systems within a large building. Established relationships with vendors in the area preferred.
* Board Relations: Demonstrated ability to work closely with the board, provide professional guidance, assist with agenda preparation, recommend operational and other efficiencies, and ensure compliance with governing documents and statutory requirements.
* Communication Skills: Excellent verbal and written communication skills with residents, guests, tenants, staff, vendors and professionals.
* Technology Proficiency: Strong experience with association management software, Condo Control or similar platforms, Microsoft Office Suite, website management and regular community communications such as surveys, newsletters and notices.
* Customer Service Orientation: Ability to foster positive relationships with residents, guests and tenants and address concerns promptly, professionally and diplomatically.
* Financial Acumen: Thorough understanding of budgeting, financial reporting, reserve funding and fee collection in compliance with Florida law.
* Problem Solving Ability: Proven ability to independently assess issues, resolve conflicts, manage resident concerns and negotiate with vendors and contractors.
* Ongoing Education: Commitment to staying current with changes in Florida condominium laws and association management best practices.
* Flexibility: Availability for on call duties, emergency response and occasional after hours responsibilities.
Key Responsibilities:
Project Management
* Solicit, review and recommend bids for capital improvement and major maintenance projects, such as roofing, painting and structural repairs.
* Engage in best value procurement of goods and services on an ongoing basis, bid out contracts periodically to ensure highest quality of work and best pricing.
* Coordinate and oversee projects to ensure timely completion, quality standards and budget adherence.
* Communicate construction projects and community status to the board and residents in timely manner.
Operations and Maintenance
* Oversee day to day operations of the building and grounds, including cleaning, landscaping, repairs, security and general upkeep.
* Interview, select, recommend, hire, train and schedule assigned staff. Ensure proper coverage and staffing levels.
* Supervise onsite staff and coordinate vendors and contractors to ensure high quality workmanship and cost effective services.
* Schedule and oversee routine maintenance, repairs and renovations.
* Conduct regular inspections to identify maintenance needs and recommend corrective actions.
* Ensure inventory control and adequate supplies on hand.
* Respond to and manage emergency situations.
Security and Safety
* Oversee safety, fire and security procedures to protect residents, staff and community.
* Develop, implement and maintain emergency preparedness and response plans.
* Coordinate with security personnel and emergency services.
Administration and Compliance
* Uphold association governing documents, policies and applicable local, state and federal laws.
* Ensure compliance with Florida Condominium Statutes (FS 718) and related regulations.
* Maintain accurate, well organized records including resident files, owner and tenant applications including screening, contracts, insurance documents, board minutes and correspondence.
* Prepare materials for board meetings, attend meetings and record follow up actions.
* Serve as the primary communication point between residents and the board.
Financial Management
* Assist the board with annual budget preparation and long term reserve planning.
* Oversee the collection of association fees and assessments. Manage delinquency processes in accordance with statutory requirements.
* Support the external bookkeeper and CPA with documentation for reports and the year end audit.
* Monitor expenditures to ensure compliance with the approved budget.
* Ensure the association and board are adequately insured at competitive rates. Job #10290
