Areas: West Palm Beach

Association manager to be responsible for the full management of an oceanfront community in Northern Palm Beach County. The primary role is to serve the board to help them achieve their goals. Will be responsible for managing the staff, interfacing with residents and overseeing all operations including maintenance, finances, administration and compliance with documents and laws. Must have a current, active and clean CAM license.

Requirements:

* Minimum 10 years of experience managing condominiums, with 3-5 years of experience in a high density luxury oceanfront community with complex high rise mechanical systems.

* Bachelors degree or equivalent certifications and relevant experience.

* Strong leadership, communication and organizational capabilities.

* Experience implementing capital improvement projects and major renovations.

* Solid understanding of budgeting, financial reporting, reserves planning, overseeing audits and handling collections and delinquencies.

* Experience interacting with board members, owners and residents.

* Experienced in hiring, training, motivating and managing an effective workforce.

* Proficiency in technology, association management software and Microsoft Office Suite.

* Good listener with the ability to resolve disputes fairly and effectively.

* The ability to multitask in a fast paced environment.

* The ability to handle hurricanes, flooding and emergency building issues on a 24/7 basis.

* Conduct regular community inspections.

Responsibilities:

* Hire, train, motivate and evaluate staff, to include job description development and conduct timely performance reviews.

* Maintain current knowledge of state statutes and association documents, policies and procedures.

* Understand the goals of the community, as defined by the board, and assist the board in developing strategies, policies and procedures to achieve goals.

* Respond promptly and professionally to inquiries from the board, residents and others.

* Understand, use and contribute to association policies, procedures, practices and programs that are available to support the continuous improvement of management at the community.

Assist the board in planning, noticing and conducting elections, board meetings, annual meetings and committee meetings.

* Keep residents aware of all pertinent issues via telephone, email, text messages and website updates.

* Provide a manager's report at all board meetings and be responsible for the minutes at all board and committee meetings.

* Provide weekly, monthly and quarterly dashboards to all board members.

* Implement hurricane and storm plans.

* Develop and maintain preventive maintenance plans.

* Manage the maintenance work order flow, work order schedules and project schedules.

* Implement competitive bidding practices and procedures, including evaluating and comparing quotes and performing due diligence.

* Oversee work conducted by all vendors and contractors.

* Available to respond to after hour emergencies.

* Oversee the day to day administration of the community, maintain the association's files and records, administer insurance, administer rules and regulations, manage relationships and contracts with vendors and contractors, process rental and resale screening applications and prepare mass mailings. Oversee the financial management of the community, collect maintenance and special assessments, monitor, code and verify vendor invoices, work with legal counsel regarding collections, issue customized monthly financial reports, monthly budget to variance analysis, assist in preparing annual budget and reserves, assist the auditor in preparing annual reports and filings.

* Ensure the maintenance, cleaning and repair of community facilities.

* Ensure that maintenance is in full compliance with warranty terms.
