Requirements:

* In depth knowledge of all rules and regulations surrounding association management in Florida.
* Competency in Microsoft Office and relevant databases and software.

Responsibilities:
1. Communication
a. Single point of communication with owners and staff.
b. Single point of contact for owner inquiries, requests and complaints.
c. Weekly status reports to the board regarding work complete, project status, security and issues requiring board input and resolution.
d. Weekly communication to owners regarding project status, plans and events.
e. Post proposals, bids, contracts and other documentation to the association website according to Florida statute.
2. Project Management
a. Define project scopes.
b. Define and manage schedules.
c. Communicate and manage budgets.
d. Solicit proposals and bids.
e. Ensure work is completed under building permits as required by the City of Marco Island.
f. Inspect in progress and work in place for quality and conformance to plans and specifications.
3. Florida Condominium Division Statutes
a. Ensure condominium association operation according to the declaration and bylaws.
b. Ensure association compliance with Florida statutes.
c. Attend annual continuing education sessions to keep up to date with changes to statutes.
4. Office Staff Management
a. Promote a customer service mindset and attitude.
b. Define roles and responsibilities for office staff.
c. Daily supervision of office staff.
5. Maintenance
a. Prepare maintenance schedules for landscape, mechanical, electrical, plumbing, control and security systems.
b. Solicit proposals and bids from maintenance contractors for review and approval by the board.
c. Coordinate and verify completion of maintenance scopes of work according to predetermined schedules.
d. Audit work in place for quality and conformance to contractor proposals.
6. Repairs
a. Perform daily community walks to identify areas, equipment and systems that need repair.
b. Define repair scopes of work.
c. Mobilize the required contractor or service provider to complete the repair.
d. Coordinate and verify completion of the repair according to plans, specifications and permits.
7. Storm Preparation
a. Monitor for severe weather conditions and alerts.
b. Secure the community in advance of severe weather conditions.
c. Communicate storm preparedness plans with owners and the board.
d. Inspect the association following the storm and report the condition to the owners and board.
e. Prepare and implement corrective action plans.
8. Security
a. Define security plan and staffing requirements.
b. Solicit proposals and bids from security service providers.
c. Mobilize contractors and monitor their services.
d. Trend security incidents to inform future corrective actions and security related decisions.
9. Finance
a. Review and approve contractor invoices.
b. Monitor accounting and reconciliation of cash transactions and weekly deposits. Job #11061
