Areas: Miami

General manager for a gated waterfront condominium community in Miami. The community has multiple associations, a marina, fitness center, swimming pool, spa, tennis and pickleball courts, walking paths and 24 hour security. Will be responsible for the overall leadership, administration, operation and maintenance of the common areas. Will serve as the primary onsite management representative for the community and work closely with the board, residents, employees, contractors and professional service providers to ensure the community is operated efficiently, maintained to a high standard and managed in compliance with governing documents, policies and applicable Florida requirements, including the Florida Sunshine Law Guidelines. Will be expected to provide strong operational leadership, sound judgment, excellent resident service and proactive communication while supporting the board in achieving the community’s objectives.

Requirements:

* Bilingual preferred, English/Spanish.

* Bachelor’s degree in business administration, hospitality, facilities management or a related field preferred.

* Minimum of 12 years of progressively responsible management experience in condominium, community association, hospitality, facilities or operations, preferably in a high rise environment.

* Strong knowledge of building operations, vendor coordination, budgeting, maintenance administration and resident relations.

* Demonstrated leadership, communication, organizational, conflict resolution and problem solving skills.

* Ability to exercise discretion, sound judgment and professionalism in a residential community setting.

* Proficiency in Microsoft Office and association management, work order or accounting systems preferred.

* This position is primarily performed on site in a high rise residential condominium environment.

* May require availability outside standard business hours for emergencies, meetings, inspections, projects and special events.

* Must be able to walk the community regularly, climb stairs, inspect common areas and equipment rooms and interact frequently with residents, staff, vendors and visitors.

* The position requires the ability to manage multiple priorities in a fast paced environment while maintaining professionalism and confidentiality.

Responsibilities:

* Direct and oversee the daily operation of the community, common areas, amenities and administrative functions.

* Conduct regular inspections of the buildings, grounds, equipment and common elements to identify maintenance, safety or service concerns.

* Coordinate preventive maintenance programs and monitor repair work to help protect the physical condition and value of the community.

* Respond to emergencies and urgent operational issues, including after hours matters when required.

* Ensure the community is maintained in a safe, clean, orderly and professional condition always.

* Serve as the primary liaison between the board, sub associations, residents, staff and vendors.

* Assist the board with implementing approved policies, projects, rules, and operational priorities.

* Prepare reports, recommendations, updates and support materials for board meetings and decision making.

* Attend board meetings, annual meetings, committee meetings and special meetings.

* Support compliance with the governing documents, policies, rules and procedures.

* Assist in the preparation, monitoring and administration of the annual operating budget and reserve related planning activities.

* Review expenditures, invoices, purchase requests and contracts for accuracy and alignment with approved budgets and policies.

* Help maintain sound financial controls and provide timely operational and financial information to the board.

* Monitor vendor billing, service levels and contract performance.

* Support assessment collection processes, records coordination and administrative follow up.

* Oversee office and operational personnel, maintenance personnel, service providers and contractors responsible for building systems, repairs, housekeeping, landscaping, security and other operational services.

* Solicit proposals, coordinate vendor access, evaluate service quality and monitor completion of contracted work.

* Manage capital improvement and repair projects within approved scopes, timelines and budgets.

* Maintain organized records of contracts, warranties, inspections, permits and service documentation.

* Coordinate oversight of key building systems, including elevators, HVAC, plumbing, electrical, access control, fire life safety systems and other critical infrastructure.

* Serve as a professional and responsive point of contact for residents and owners.

* Address concerns, complaints, requests and service issues in a timely, respectful and solutions oriented manner.

* Promote clear, consistent communication between management, the board and the residents.

* Supervise onsite staff, including scheduling, training, performance oversight and day to day direction.

* Foster a culture of accountability, professionalism, teamwork and high resident service standards.

* Help ensure the association’s operations are conducted in accordance with applicable laws, regulations, insurance requirements and governing documents. * Maintain familiarity with Florida community association management requirements and support proper administrative and operational practices.

* Coordinate incident reporting, emergency preparedness, life safety awareness and risk mitigation efforts.

* Maintain accurate and organized records related to operations, contracts, maintenance, meetings and other management activities.

* Work with legal counsel, accountants, engineers, reserve specialists and other professional advisors.
