January 16, 2024 - Community Association Manager: $100,000-$110,000

Areas: Boca Raton

Community association manager for an association in the Highland Beach area. Will manage the assets of multiple buildings and common areas and provide maintenance services, including facilities maintenance repair and fire department inspections. Will manage the relationship between the association, board, owners, renters, guests and employees. Will manage and administer policies as defined by the rules, documents, bylaws and board.

Ensure maximum owner, renter and guest satisfaction by:

* Securing and protecting assets.

* Completing regular community inspections to ensure optimal curb appeal.

* Responding to owner work orders in a professional and expeditious manner.

* Delivering outstanding concierge services including package delivery, newspaper service, car washing service, security services, general cleaning and building maintenance services.

* Managing an ongoing preventive maintenance program for HVAC, electric, plumbing, roofing, elevators for all buildings.


* Must have 10 years of experience as a community association manager.

* Must have statutory knowledge of relevant Florida condominium codes, laws, ordinances and maintain knowledge of current state condominium laws, fire and health codes, tax requirements and local ordinances.

* A Florida driver’s license.

* Must have knowledge of the Florida Condominium Act and amendments and make recommendations for updates annually.

* Required to have expert level with computerized financial, customer relations software, association management software, preferably TOPS and Microsoft Office Suite and be prepared to upgrade the software package to improve flow and efficiencies in record keeping, bookkeeping, work order system, preventive maintenance program, security and concierge services.

* Proficiency with integrated software for capital planning and fixed asset studies.

* Must have technical skills to troubleshoot any technical issues, including internet, voip, network issues and miscellaneous IT problems, including all service issues effecting the owners.

* Must have expertise with electronic security devices including cameras, door boxes and automated gate equipment.

* Must have experience in negotiating bulk contracts.

* Required to have a bachelor’s degree in either business administration, management, marketing, accounting, construction management or any related association management degree.

* Must be available to work Monday through every other Saturday in the season and be on call for all emergencies.

* Must have construction knowledge with the ability to oversee any size project for common area related projects and be able to prepare RFP’s when necessary for contracts and bid specifications for projects.

Job Summary:

* Monitor maintenance activities to ensure resident requests are being responded to quickly and thoroughly.

* Supervise security, maintenance and house staff.

* Manage payroll.

* Adheres to the employee handbook for human resources guidance.

* Plan and develop specific operational policies, programs and procedures under the established bylaws and regulations.

* Administer and coordinate the planning for utilization and maintenance. Monitor maintenance activities to ensure resident requests are being responded to quickly and thoroughly.

* Coordinate the development of the operating budget and capital project expenditure.

* Manage annual business plans in concert with reserve study.

* Manage board meetings and maintain minutes.

* Provide recommendations about construction, equipment and services.

* Establish and monitor compliance with purchasing policies and procedures.

* Schedule, supervise, train and direct the work of all employees.

* Hire, supervise and train security guards. Specific training in the following: fire emergencies, basic elevator operations, flooding, gas leak and hurricane procedures, etc.

* Organize, post notices and write the agenda for all meetings.

* Reinforce fire safety rules in all common areas.

* Keep all the insurance (liability, fire, directors and officers liability) in order and give updates on renewals.

* Hire and supervise pest control.

* Ability to write reports, business correspondence and procedure manuals. Ability to effectively present information and respond to questions.

* Ability to determine maintenance and service specifications, analyze and negotiate bids, supervise specification compliance. Ability to plan and schedule deferred and/or current maintenance.

* Be creative in problem solving. Familiarity with laws regarding transition, implied warranties and related issues.
