July 05, 2022 - Full Time Onsite Community Manager: $70,000

Areas: Boca Raton

Full time onsite community manager for a small, stable, upscale country club community in the western Delray Beach/ Boynton Beach area. Will provide management, direction and leadership to ensure the community is well maintained and operated in accordance with our community’s objectives. Facilitate solutions to problems between the community/individual residents and provide strong management and a high degree of customer service.

General:

* Responsible for the day to day operations of the association.

* Familiar with homeowners association Florida Statute 720.

* Proficient in QuickBooks, Publisher, Outlook, Gmail, TOPS, Excel and Word.

* Will supervises, a part time administrative assistant, a maintenance person and 13 security guards. Will hire, fire, schedule and payroll.

* Excellent communication skills required with strong organizational and follow up skills.

* On call 24 hours a day, 7 days a week for emergencies.

* Respond appropriately to inquiries and requests of residents and guests. As needed, promptly escalate issues to the board.

* Enforce rules and regulations and financial policies and ensure the governing documents are reviewed and updated.

* Schedule and attend all meetings and assist with preparation of the agenda, and writing up minutes.

* Attend outside community meetings.

* Oversee office administration including record keeping and prompt handling of all matters for the association.

* Negotiate and procure materials and services from vendors or contractors and oversee completion of services or work.

* Manage the association website, keep it up to date and work with personnel and volunteers.

* Create and develop informational articles for the newsletter in cooperation with the country club.

* Facilitate resolution of cable television complaints/concerns of residents.

* Operate with a minimal amount of supervision.

* Ensure the association operates in accordance with all local, state and federal regulations.

Real Estate:

* Ability to develop marketing brochures and orientation to new residents.

* Handle all association related matters for real estate transfers of property, including estoppel letters.

* Responsible to interface with legal counsel on association issues.

* Develop and process lien letters for fees and fines.

* Interact with real estate agents.

* Prepare paperwork for a contract firm to perform background checks for new residents.

* Schedule interviews prior to closing for all new residents.

Architectural Review and Community Appearance:

* Ability to understand and review site plans for compliance with community regulations.

* Understand association regulations with regards to setbacks/construction requirements.

* Develop review information for board approval for new construction and additions and remodeling.

* Understanding and ability to review landscaping plans and maintenance requirements.

* Ensure all common areas are well maintained and schedule updates.

* Review community appearance and insure compliance with appearance requirements for all exterior housing and lawn maintenance.

* Will perform regular inspections of the community and follow up, including letters, emails and phone calls.

* Basic understanding of community items, such as access gates and irrigation equipment.

Financial Oversight:

* Oversee all accounts payable and receivable and maintain all financial records.

* Prepare preliminary annual budget and membership assessment schedule for the association and submit to the treasurer.

* Prepare monthly financial reports to the board.

* Monitor the association’s assets for useful life maintenance and replacement schedules including expenditure forecast.

* Basic understanding of financial statements.

Education and Experience:

* College graduate with a minimum of a Bachelor’s degree and a PCAM or CMCA.

* 7-10 years of experience desired with a similar size country club homeowners association in Florida.
