Bilingual administrative assistant/receptionist with excellent communication and organizational skills to support a small condominium office in Miami, CAM license not required.


* Bilingual (English/Spanish).

* 3 years of administrative experience.

* Knowledgeable of QuickBooks.

* Must be proficient in Microsoft Office Suite.

* Motivated, punctual, energetic and have a professional work ethic.

* Advanced written and verbal communication skills.

* Must have excellent organization and time management skills.

* Work independently and as a team player.

* Ability to appropriately handle sensitive and confidential information.

* The position requires patience and the need to be sensitive to the needs of owners and guests while having a strong ability to manage sometimes negative situations.

* Ability to multi task on a variety of levels.

* Must have above average computer skills and ability to learn new software quickly and thoroughly.


* Manage the phone, direct and announce calls. Take messages and follow up.

* Schedule move in/out and deliveries.

* File, scan, fax and copy.

* Handle daily mail, including USPS, FedEx, UPS, incoming and outgoing.

* Work on accounts receivables and payables in QuickBooks.

* Manage payroll, distribute W-2s.

* Assist other staff members.

* Inventory and order office supplies.

* Place work orders for general repairs, air conditioning issues, light bulb changes, etc., in the building and inside the units.

* Assist with coordination of all community related meetings, including attendance at meetings and preparation of meeting notices.

* Take minutes at board meetings.

* Act as a liaison between the owners and association, maintain positive communications, including an open line of communication between all parties.

* For all new owners, prepare documentation and send packets of information which may include contact forms, application, rules, documents, estoppels, questionnaires, etc.

* Maintain the access program as well as the key fob and bar code programs.

* Maintain the owner email distribution lists.

* Assist with various forms of communication to owners, including flyers, emails, letters, website, etc.

* Provide assistance with document preparation, typing, formatting, organizing, filing, notices, etc.

* Greet owners and guests, assisting as required. Provide excellent customer service.
