Areas: West Palm Beach

General manager for a well maintained condominium on the intracoastal in West Palm Beach. Must be a strong onsite manager committed to continuous improvement of the community. Currently working towards a major retrofit and upgrade to the building’s infrastructure components.

Seeking a long term management professional who can deliver measurable successes in numerous areas. This includes administration of the association’s daily operations, financial management, budgeting, long term planning, building maintenance, personnel management and human resources where sound judgment and seamless execution of all duties is essential. Prior large scale management and progressive supervisory and project manager experience is required.

Will be responsible for physical, financial and administrative tasks of day to day operations with satisfactory owner relations as a central goal. Will assist the board in the supervision and enforcement of the bylaws, declaration, rules and regulations, construction rules and in modifying and updating these documents. Must be able to prioritize daily operations so focused time is appropriately allocated to administrative tasks and physical inspection of the community.

Providing exceptional services to owners, residents and vendors while adhering to published policies and relying on best practices is fundamental. Will be expected to achieve highest standards in: 1) Building and grounds maintenance, and 2) Verbal, written, and electronic communications with owners, residents and vendors in person and across all platforms both traditional and electronic. Cultivating harmonious and discreet relationships with owners and residents is paramount, building relationships with respected vendors, contractors, neighbors, industry affiliations and governmental liaisons is equally important. Fiscal and fiduciary accountability must underly all judgements, decisions and actions in concert with the board. Must set the standard for all staff to be trained, informed and respected, so they may succeed in their positions. Adhering to all federal, state, county and local mandates for licensing, certifications and professional development are baseline expectations.

Requirements:

* College level education required with proven leadership and problem solving skills.

* At least 7 years of experience in condominium facilities management, with at least 4 of those in progressively responsible positions within a condominium or homeowners association setting.

* Personable demeanor, professional comportment, appropriate business attire and approachable personality.

* Excellent time management skills, intellectual multi tasking ability and focus on priorities.

* Microsoft Office competency, email management and regulatory or project management database skills essential.

* TOPS or equivalent accounting software proficiency required. Experienced with analyzing financial documentation and reporting findings.

* Ability to climb multi level stairwells, access narrow spaces within building and lift 50 pounds from ground to desk height without assistance.

* Motivated problem solver to gather facts, research and address issues promptly, sensitively and decisively.

* Proponent of best practices for managing people and the community respectfully and safely.

Responsibilities:

* Develop tools, schedules and communications to ensure timely and effective resident relations.

* Conduct weekly, comprehensive physical inspections of the building, hardscape and landscape, ground level to rooftop, east to west.

* Review and update job descriptions and staff handbook, discuss and distribute updated descriptions with each department.

* Implement checklists for staff duties so task completion and job performance can be evaluated.

* Generate a weekly email reporting the status of community assets and resident business.

* Negotiate and coordinate outsourced and contract services including leases, terms, fees, deadlines for termination, escalation and renewal clauses, including utilities, trash removal, common area maintenance and landscaping, etc.

* Review billing for all services to assure work has been satisfactorily completed, invoicing is accurate. Remit timely payments to avoid late fees, challenge inappropriate fees.

* Monitor association revenue stream(s) to assure receivables are current followed by prompt deposit to properly designated accounts.

* Review owner accounts regularly and prepare monthly reports noting discrepancies and delinquencies to the treasurer. Follow up with notice to owner.

* Stay up to date on Florida Condominium Statute 718 and all affiliated statutes and report changes that impact the association as part of the monthly manager report at board meetings.

* Responsible for the periodic completion and reporting of all statutory requirements, including: Milestone Inspection, SIRS, reserves and Corporate Transparency Act.

* Prepare resident impact notices in a concise, easy to read format that can be posted on official bulletin board(s) and disseminated via email or to the website.

* Work closely with attorneys and other professional advisors to assure recordkeeping compliance and timely website postings as stipulated in Florida statutes.

* Demonstrate superior project management skills at every scale, from small improvements to major overhauls.

* Respond fully and promptly to orders or requirements sought by any court or government entity.

* Prepare an annual operating budget, review with the treasurer and Budget Committee, and submit to the board at the annual budget meeting.

* Ensure compliance with the association’s books and records according to 718.111(12) of the Florida Statutes and the Condominium Act.

* Prepare notices for and attend all meetings. Provide a verbal summary of a written report to be included in the director meeting packet.

* Demonstrate a willingness and ability to adapt to changing circumstances.

* Leadership: set the example for staff to perform to the highest professional standards, mentoring and motivating them as a team.

Salary, 3 month probationary period, annual performance and compensation review, health insurance contribution, 3% annual increase cap, 2 weeks vacation, 10 days of personal time off and year end service recognition. Job #10165
